Can I share documentation via WhatsApp or email?

Yes. Oxolo lets you share generated documentation through common channels such as email and WhatsApp.

Can permissions be changed?

Yes.
Admins can:

  • upgrade or downgrade roles

  • remove access

  • assign new permissions

Can users see all projects?

Not by default.
Access is controlled by Admins.

Does everyone involved need an Oxolo license?

Team members actively using Oxolo require the appropriate license. Reports and documentation can also be shared with external stakeholders without requiring them to actively use Oxolo.

How do I invite colleagues and manage permissions?

You can invite team members to your Oxolo organization and add them to individual projects. Roles and permissions determine how team members can participate in and manage projects.

What are roles?

You have three roles:

  • Worker

  • Manager

  • Admin

Each role controls what a user can see and do.

What happens when a colleague is sick or on vacation?

Project knowledge stays accessible in Oxolo instead of remaining with one person. Team members can review previous recordings, documentation, photos and tasks to understand what has happened on a project. Oxolo's AI can also help users find information from the available project context.

What happens when access is removed?

The user:

  • loses access immediately

  • cannot see projects or data anymore

What is a Manager?

A Manager oversees project execution and reporting.


What can a Manager do?


 Everything a Worker can, plus:

  • Edit and share reports

  • Adjust summaries

  • Create and delete tasks


What can a Manager not do?

  • Manage billing

  • Fully control team access (limited compared to Admin)

What is a Worker?

A Worker is focused on documenting work on site.


What can a Worker do?

  • Create and view recordings

  • Capture photos and videos

  • Read transcripts and summaries

  • Work on assigned tasks

  • Use AI chat within a project


What can a Worker not do?

  • Manage team members

  • Delete projects

  • Change roles or permissions

  • Modify core project structure

What is an Admin?

An Admin manages the organization.


What can an Admin do?


 Everything a Manager can, plus:

  • Invite and remove users

  • Assign roles

  • Create and manage licenses

  • Manage projects (create, edit, delete)

  • Assign tasks across teams

  • Control access and permissions


Admins are responsible for:

  • billing

  • user access

  • overall system control

What is the audit trail?

The audit trail is a system log of all actions.


It records:

  • recordings created

  • photos and videos added

  • edits to reports

  • user activity

  • access changes



Can the audit trail be edited?
 No.
It is system-controlled and cannot be modified by users.



Why does this matter?
 It provides:

  • proof of work

  • traceability

  • legal protection


You can always show:

  • who did what

  • when it happened

Who can access what?

Access depends on:

  • your role

  • your assigned projects


Admins define who can:

  • join a project

  • view data

  • edit content
